How it works in practice

Guests & access

When a guest rings the door entry, the resident receives a video call directly on the phone. From here the resident can see who is at the door, talk to the person and choose to open – all from the app.

Temporary access

Residents create temporary access codes for tradespeople, cleaning or family members, which automatically expire after use or time. Everything is easily managed in the WelcomeBob app.

What does a door intercom cost for a housing association?

There are two routes. Under the Own model the association buys the system and pays a low monthly price per apartment for operation, with no lock-in — that suits associations able to make a capital investment and wanting to own the hardware. Under the All-Inclusive model (WelcomeBob-as-a-Service) the system is covered by a flat monthly price per unit including a service agreement and ongoing hardware refresh, with installation agreed separately. Because the resident side lives in the app, there is no answering unit to buy per apartment, so the hardware cost does not grow with the number of apartments. Who decides — the board or the general assembly?

It depends on the association's statutes. In many associations a capital investment has to go before the general assembly, while an operating expense can often be decided by the board — which is precisely why the WaaS model can be decided directly by the board without a general assembly. If it does need to go to an assembly, we can supply the material that usually belongs in the notice: what is being replaced, what residents actually need to do, what happens to the old system, and how the handling of personal data is bounded.

Is a video door intercom lawful in a housing association?

Yes, as long as the camera is only active during a call. There is no continuous recording, no monitoring of the pavement or street, and no facial recognition. The video is sent encrypted to the resident being called and disappears when the call ends. The roles are separated: the board and the administrator manage users, the name list and access rights in the admin panel, but have no access to video from residents' calls. That boundary is what makes the system a door intercom rather than a CCTV installation — and it can be documented for both the board and the administrator.

What do residents themselves have to do?

Very little, and that matters when you need a decision to pass. Residents receive an invitation and set themselves up in the app, available for both iOS and Android — there is no equipment for them to buy and no installer who needs to enter the apartment. For those who don't use the app, the door opens with an access code or a key fob, and calls can be forwarded to an ordinary phone number, so the transition doesn't depend on every resident changing habits on the same day. Day to day, the most noticeable difference is being able to let in a contractor or a courier without being home, and no longer having to order a name plate from the board when moving in. If a resident needs access to shared areas such as the laundry or the bike basement, it sits on the same access and doesn't require a separate fob.
